EXECUTIVE ASSISTANT - US FLEXIBLE
Purpose of Position

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to our C-Suite executives. This role requires a professional who can anticipate needs, manage complex schedules, and ensure seamless executive operations, allowing the leadership team to focus on strategic initiatives. Please note that, at this time, we are not considering applicants based in California.

 

Essential Functions:  

Executive Support:

  • Manage complex calendars, coordinate meetings, and schedule appointments with internal and external stakeholders.
  • Handle travel arrangements, including flights, accommodations, itineraries and expenses.
  • Prepare, edit, and review presentations, reports, and correspondence on behalf of executives.
  • Act as a gatekeeper by managing communications, and handling inquiries.
  • Take detailed meeting minutes and follow up on action items to ensure completion.
  • Organize and maintain confidential documents and records.
  • Assist in preparing board materials and reports, as needed.
  • Coordinate and support special projects, ensuring timely execution.
  • Liaise between executives, functional leaders, and external partners to facilitate communication.
  • Manage logistics for executive engagements, including speaking engagements and conferences.
  • Arrange catering, venue bookings, and materials for executive meetings and functions.
  • Handle sensitive company and personal information with the utmost confidentiality.
  • Exhibit sound judgment in handling confidential matters and making executive decisions.
  • Provide research, data analysis, and insights to support executive decision-making.
  • Act as an extension of the executive, ensuring alignment with key initiatives.

 

Education & Experience:

  • Experience: 
    • Minimum 5+ years of experience as an Executive Assistant, preferably supporting C-Suite executives.
  • Technical Skills: 
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), and scheduling platforms like Calendly, Zoom, and Teams.
  • Communication: 
    • Exceptional written and verbal communication skills.
  • Time Management: 
    • Ability to prioritize tasks and handle multiple projects efficiently.
  • Confidentiality: 
    • High level of professionalism and discretion with sensitive information.
  • Problem-Solving: 
    • Strong critical thinking, decision-making, and proactive problem-solving abilities.
  • Flexibility: 
    • Adaptability to a fast-paced, dynamic work environment.
